close the project. delete the old file. open the project and replace media with new version.

I’d suggest a simple access database, with forms guiding him step by step, so not much room to mistype / mess up / damage anything. All you need is for him to spend a morning typing in a load of info, then accidentally lose it all in saving the file, to mess him up for good re computers. Access saves as you type, so that issue avoided straight off.
