Yes, the Ki Pro Quad may be used as a playback device for digital signage. You will need to create compatible Apple ProRes files. A guide to the appropriate settings for compatible files is found in the Ki Pro Quad user manual on page 34. The user manual may be found here:
    https://www.aja.com/assets/support/files/2422/en/AJA_Ki_Pro_Quad_Manual_v5.2.pdf

If you have further questions about the configuration, please feel free to contact AJA Technical Support via phone or email between 9am and 5pm PST.

The Sony PMW-F3, the Sony PMW-F5 and the Sony PMW-F55 should all share the same start/stop trigger in their SDI ancillary data. Therefore, you might consider using the CONFIG 13.1 Camera Data menu parameter on the Ki Pro set to “Sony F3”; this setting allows the Ki Pro to respond to start/stop commands from the camera. The camera output also needs to be configured appropriately.

Alternately, but not in combination with the 13.1 Camera Data menu parameter, you could elect to use the CONFIG 8.3 Arm Recording parameter set to “TC/REC KEY”; be aware that this parameter is only useful if your camera has media in it and is operating with record run timecode. The incrementing timecode of record run is required to make this feature possible; free run timecode, because it is continuously running, does not provide start and stop values for the timecode.

If you have questions about a configuration or specific features, please don’t hesitate to contact AJA Technical Support via phone or email between 9am and 5pm PST Monday through Friday.

The Ki Pro will only recognize appropriately encoded clips. Appropriately encoded clips must have the following properties:
    • A supported codec: Apple ProRes 422 (Proxy), Apple ProRes 422 (LT), Apple ProRes 422 or
    Apple ProRes 422 (HQ).
    • A supported frame size: 1920×1080 for 1080 HD or 1280×720 for 720 HD or 720×486 for
NTSC SD or 720×576 for PAL SD.
    • A supported frame rate: 23.98, 24, 25 or 29.97 fps for 1080p material, 25 or 29.97 for
1080i material and 50 or 59.94 fps for 720p material.
    • Proper interlace setting for interlaced material: for 59.94Hz regions, HD interlaced
material will be top field first and SD interlaced material will be bottom field first. For
50Hz regions, HD and SD are both top field first if interlaced.
    • Proper sound settings: Format > Linear PCM, Channels > Stereo (L R) or 2 Discrete
Channels, Rate > 48.000 kHz, Sample size > 24 bits, and Little Endian.

You may want to look at the AJA Io XT:
    https://www.aja.com/en/products/io-xt

The only item from your list that the Io XT does not natively offer is analog audio input. This could be accomplished via the use of a converter, such as the AJA HD10AMA, used in combination with the Io XT:
    https://www.aja.com/en/products/mini-converters/hd10ama

Also, be aware that for analog audio output, a user-supplied DB-25 audio cable is needed.

If clips created externally are not seen by the Ki Pro Quad they likely don’t meet some requirement for appropriate encoding.

Page 81 of the Ki Pro Quad manual describes appropriately encoded clips.

Appropriately encoded clips must have the following properties:
    • A supported codec: Apple ProRes 444, Apple ProRes 422 (Proxy), Apple ProRes 422 (LT), Apple ProRes 422, Apple ProRes 422 (HQ).
    • A supported frame size: 4096×2160 (4K), 3840×2160 (Quad HD), 2048×1080 (2K), 1920×1080 (HD) or 1280×720 (HD).
    • A supported frame rate: 23.98, 24, 25 or 29.97 fps for 4K, Quad HD, 2K or 1080p material, 25 or 29.97 for 1080i material and 50 or 59.94 fps for 720p material.
    • Proper interlace setting for interlaced material: for 50Hz and 59.94 Hz regions, HD interlaced material will be top field first.
    • Proper sound settings: Format > Linear PCM, Channels > Stereo (L R) or 2 Discrete Channels or 8 Discrete Channels, Rate > 48.000 kHz, Sample size > 24 bits, and Little Endian.

FFMPEG is not an authorized implementation of Apple ProRes. Only Apple ProRes authorized products should be used to create ProRes file for playback on Ki Pro Quad. You may find a list of Apple ProRes authorized products here:

Since you are working with a VHS source, you may wish to consider the use of a time base corrector (TBC). This tool would help stabilize the signal coming out of the source VHS deck before it is sent to the Io HD.

The KONA 3 XLRs are designed for AES/EBU digital audio, not analog audio. The Shure audio mixer is likely outputting balanced analog audio, not AES/EBU digital audio.
