There’s a difference between XDCAM HD chip based media like from the X-1 or X-3 and the optical disc based media off of the f-700 or 800. Which “flavor” are you working with?

I’ll add to Mark’s “canned speech”.
I will typically start the interview, VO, scene etc. and then very quickly call cut, blaming it on something technical. This “false start” let’s the talent know that it’s OK to stop and start over. It’s OK to try again. It’s OK to mess up. The relaxation after this “restart” goes a long way towards making “non-professional talent” feel more comfortable with the process.

Typically, the error’s you’re describing come from “misnaming” or “mistakenly connecting” the wrong file to a a clip. If you have a pile of “untitled- 1” clips, it’s quite easy to select the wrong one.
Without seeing your specific project it’s tough to know exactly what’s causing your problems, but I’m willing to bet that this is a case of “incorrect connections”.
Finally, your version of FCP (5) is OLDER THAN DIRT! There’s a reason there have been two full versions up updates since then. Media management is just one of the many features that have been improved significantly in later versions. Pony up for a current version and I think you’ll notice the difference immediately.

In order to make this workflow as seamless as possible you MUST create and maintain the EXACT same naming and file structure on BOTH your and her drive.
For example: Original drive is called: “Producers Hard Drive” and the files live in “Media” folder.
Your drive also should be called “Producers Hard Drive”, and the files that you’ve copied over must also live in a folder called “Media”. Any internal folders or additional organizing folders have to be the exact same. If you follow this advice, the reconnect process can be as quick as a couple of clicks. NOTE: your render files are NOT moving, so they must be redone. Depending on the complexity of the program or the resolution, this can either be quick or take all night.
Plenty of people use this workflow everyday. It can work quite well.

At NAB, Active announced a new product called “Interpool”, which off-loads the meta data lun requirements to a separate card, thereby freeing up your storage to be, well, just STORAGE, and not metadata.

As far as I can tell, there is NO OTHER storage maker out there using this concept. (I think they patented it.) In addition, Active has some very cool “monitoring” programs available now for your iPhone, and in the future, for your iPAD. Again, I know of no other storage maker that has that.
We’ve had Active boxes up and running for almost two years now, and no problems whatsoever.

If “logging” is important to you, then CATdv wins hands down. To my knowledge, there is NO specific logging component of FCSrvr. For everything else, you must do your homework and compare feature by feature.
You don’t need EITHER of these programs to manage project files. That can easily be done on the finder level IF you have some standard naming conventions and “rules” for your editors. No program will automatically manage this kind of stuff if you don’t already have a logical naming convention and workflow in place. You may want to “focus on the creative side”, but you’ll NEVER get to do that if your projects are a mess. Organization is the key to creativity. If you can’t find it, you can’t edit with it. So, start with a sensible organization structure and you’ll have plenty of time to work on the creative.
There is plenty of information available on their website. If you email or call, I’ve found them to be very helpful with tons of info and suggestions. One thing to note about BOTH programs: You should plan on paying an expert “HTML” consultant for a level of customization to make the programs ideal for your own unique workflow. The cost of this service is going to be MORE than the cost of the base program… but it will be worth it.
I just got back from NAB and “CATdv” was getting quite alot of “buzz”.
