  • What files/folders do I need to give to an editor so that they can complete a project?

    Hello all,

I’ve got a problem that i’m sure you guys will be able to help me with.

Time is cracking on, and I’ve got several projects to complete at near enough the same time.
A mate of mine has offered to complete a project for me, but he lives miles away, so i thought the best idea would be to send him a hard drive with all of the files needed to complete the project. The only problem is i’m not sure what files to copy to the hard drive so he has everything he needs.
I can’t send him the original tapes, as i’m using them on anouther project, so i need to make sure that he has everything to hand.
The project was shot on HD, and was saved to one of my scratch discs, apart from the project file which was saved to my system HD.
If poss. a simple list of required files would be great.

    Many thanks indeed in advance.

    All the best

    Dave,

    Here’s the simple list.

    1. all media (QT)
    2. Project file
    3. Any grfx imported
    4. Any music used
    5. Render files (Optional: Most people just redo them locally)

Thats it. I’m sure your next question will be, “How do I relink these files on the new system?”

FCP only links to files so you’ll need the project file, which will have any text imbedded in it, captured media, any graphics you’ve made, Motion files, and Livetype files. Make sure all your software versions are the same. (FCP, QT and OS)

Many thanks indeed for your prompt responce Mark, and yes, my next question is indeed, “How will the editor relink the files?”
Also, am i right in saying that ALL of the media files will be contained within the same folder on my scratch disc? I used to use Avid, and it was really easy to find all of the media files needed for a project.
The project doesn’t contain any graphics, or Livetype media, it’s a very basic pop promo, which contains only the footage, transitions, and a few basic FCP FX.

    Hello Joe,

Many thanks indeed for your responce. If the editor is using a different OS what effect with that have on his ability to complete the edit, because as far as i’m aware he is using the previous version of Tiger.

If all you are working with is captured footage, on your media drive, copy over the folder in the CAPTURE SCRATCH folder that has the project name and copy that over. Also, in the RENDER folder, copy over the project folder from there. AUDIO RENDERs as well. It would be best to make the same folder names on the drive you are coying too, CAPTURE SCRATCH, RENDERS, AUDIO RENDERS.

Then, if you want to, you can name the drive you copied the footage to the exact same name as the drive you copied the footage from. Then no relinking would be necessary. But, if it still doesn’t reconnect, the editor just has FCP reconnect the footage (it’ll prompt him too when it opens and have pretty easy directions).

Then he should be good to go.

A little more info from you would asso be helpfull.

What format of HD (DVC Pro HD, Uncompresed HD, HDV)??
Are both you and your friend both using the save version of FCP?

Use media manager to make the copy for you.

It will create a whole new project file as well.

But you mentioned he’s using an older OS, meaning probably an older QT, and an older FCP. He’ll need the same version or newer or FCP that you have. As well, if he’s sending it back and you’re going to output, you’ll need the same version of FCP that he has (if his is newer).

You know, this is what media manager is for. Mount the blank drive, highlight the sequence in the bin and run the media manager. The options are pretty straightforward and this will ensure you’ve sent everything.

In either case, after putting everything on the new external drive, it’d be a good idea to unmount your drive and try launching the project off the new external just to make sure everything links up ok.

[zrb123] “Use media manager to make the copy for you.”

Absolutely!!! You don’t have to wonder what to copy and you won’t have relink a thing (most of the time) if you use Media Manager to copy the project to another drive. Read the manual, its right there. And, its one of the few things in Media Manager that actually worked properly even before FCP ver. 5.1.2.
