Our news department is running into a problem where the promotions department is using some of the footage the news has put into our Isis. Yes, that’s what it’s for. Problem is, the promotions department isn’t good about getting rid of stuff in a timely manner, which means the projects the news was working on have master clips which are prevented from being deleted for long periods of time.

If a particular shot from news is long, and promotions grabs just a small portion of it, what is the procedure the we’d use to get the rest of the master clip removed while retaining the small in-use portion? It sound like a consolidation sort of thing, but not sure if that needs to happen at the promotions or news end of the chain, and how this is done to just select footage (not everything in the project).

Have your promotions people consolidate on their end so they keep only the section they used. Then delete the original clip.

I also suggest making a policy where promotions has a limited amount of time to back up/consolidate their projects or the original files get purged. As important at marketing and promotions is to news (I work in news promotions :-)–it’s not as important as the news, and if you can’t load your footage to edit the news, that’s bad news. They should be a little more considerate, in my opinion.
